Lot Lead Time

The lot lead time allows you to customize how many days in advance an online booking can be made from the time of booking to the reservation's arrival date.

This feature helps you prevent last-minute bookings and ensures you have enough time to prepare the lot before a guest arrives.

Overview:

  • You can create one or more rules to define a date range along with the lead time (in days) required for that period.
  • A rule can enforce that a reservation must be made X days in advance of the arrival date.
  • Rules can be applied to all lots or to a specific lot.
  • The lead time rule ensures that if a camper tries to book inside the restricted window (for example, less than 7 days before arrival), the lot will not be available online.

Example:

A good example of using a lead time rule on your lots is if you need a couple of days to ensure that the lot is clear of debris or snow before a camper arrives.

Adding a New Lead Time Rule

To add a new lead time rule, follow these steps:

  • Go to the Lots panel.
  • Double click on the lot you want to edit.
  • Scroll down to the Online Reservation Lot Lead Time Schedule section.
  • Click on the Add button.
  • Select the date range for the rule.
  • Enter the number of days required before arrival (lead time windows in days).
  • Click Save to save your changes.

Viewing Lead Time Rules in the Grid

Any lead time rules will display in the grid for quick reference under the Reservation Lead Time Schedule column.

When you hover over the rule you will see the details of the rule in a tooltip.

Bulk Adding Lead Time Rules

You can apply the same lead time rule to multiple lots by selecting the lots you want from the grid and clicking on the Bulk menu and selecting Online Reservation Lead Time Schedule.

Viewing Lead Time Rules on the Booking Page

When a camper selects arrival and departure dates on your booking page, the system automatically checks whether the lead time requirement is respected.

  • If the camper chooses an arrival date that does not meet the lead time (e.g., only 3 days in advance when 4 days are required), the lot will show as Unavailable.
  • The lead time schedule will be displayed on the booking page to inform the client why the lot cannot be booked.

Example Walkthrough:

  • Today is October 11.
  • The camper tries to book for October 14–17 (only 3 days away).
  • A rule requires a 4-day lead time.
  • Since the arrival is too soon, the lot is blocked, and the system displays the following:
  • Unavailable badge.
  • And a message informing the client: Reservation must be made at least 4 days before arrival date.
